Calendar: Implement Outlook 'Categories' in OTYS
If the Outlook integration for Calendars is active, you will now be able to select a 'category' for your appointment in the appointment planner. The 'categories' in Outlook can be different for each user. In OTYS we have one list with appointment types per client. We added a setting 'Calendar - Appointment type mapping' for key users to map personal categories to OTYS calendar types. This way for example 'Intake' of user A and 'Candidate Appointment' of user B can both be connected to one appointment type in OTYS to prevent double values for what is essentially the same sort of appointment.
CANDIDATES: Create filter 'Supplier' in candidate module
Within the candidate module you can now filter upon 'Supplier' here you can search for all candidates that have Relation X as supplier OR you can further define which relation contact should be selected.
REPORTS: Added 'Relation' to Contact person linked entities
In reports you can click on the graph to see additional information. For reports based on calendar items we added the related contact persons to this information a while ago. Now we also show the company the contact person is related to.
GENERAL: Additions to Linkedin Integration
With the LinkedIn integration it is possible to show vacancies on your Company page on LinkedIn. Some additions where made to this integration. Most noteworthy of these is the option to map OTYS Match Criteria to LinkedIn variables, to show additional info with your vacancies.
GENERAL: Remove 'Local storage' upon clicking the 'Sign-out'-button
When you click the 'Logout' button we remove all the Local Storage that is currently in your browser for OTYS Go!
DOSSIER: hide 'SMS'-button
We have added additional logic to hide the SMS button when setting SE561 is disabled.
INTEGRATIONS: Set procedure status when candidate is entered by remote apply
We have implemented that the procedure status is automatically set to the value that is given 'Joined to website' in the configuration of the procedure status.
DASHBOARD: Create 'Contact person'-widget on the dashboard
We have had numerous entity widgets on the dashboard like Vacancies, Candidates, CRM etc. We have never had a Contact person widget on the dashboard. We have implemented this widget on the dashboard to show you a list of contact persons.
DASHBOARD: Remove 'System & Storage'-widget from dashboard options
We have removed the System & Storage'-widget from the dashboard. The information from this widget will be available again in MyOTYS.
DASHBOARDS: Improve date format of 'last commercial contact'-date
We have improved the date format of the 'Last commercial contact'-date to not hold the time anymore. Therefor it has become a more nicely aligned and structured date format.
DASHBOARD: Remove 'Search box' -widget from dashboard options
For a while now we have had the Global search in the top header of the OTYS Go! System. We have therefor removed the old search box from the dashboards screen.
CRM: Insert 'BTW/VAT Number'-field into CRM Index
We have implemented the feature that you can now keyword search on the BTW/VAT number in the CRM Module. Due note that you still have to select it in the dropdown list to start searching on this.
DASHBOARD: New design for the "Sticky notes" widget (New look & feel)
We have implemented a softer design for the Sticky note feature on the dashboard. This is now more in aligned with the New Version of OTYS Go!
PLANNINGBOARD: Insert 'HRM'-status in tooltip
We have inserted the HRM status into the tooltip of the planningboard.
CRM: Create setting to validate double entries on VAT
We have created a functionality that checks the if there is already a relation in your data base with the same BTW/VAT number. If the setting is enabled and you are trying to enter a double relation you will not be able to do this.
GENERAL: make phone number in search bar clickable
Within OTYS we have the option to have phone numbers and email adresses clickable. This is because sometimes people use external software packages on their computer to manage this. VOIP is one of these softwares that allows people to call from their pc. In the candidate manager & CRM we already had the phone numbers clickable, this is now also added for the results in the Search bar.
GENERAL: Improvements to 'Connections'-widget
In CRM relations, Contact persons and Candidates you can use a 'Connections' widget to indicate a connection between persons. Improvements include making it easier to click the link and edit the connections.
CANDIDATES: Insert 'Source'-field into Candidate Index
Within the 'Candidate information'-widget you have the option to fill in the 'Source'-field. This field is now available for key-word search. Please note: you have to select the field at 'search in' for the setting for the key-word field.
PLANNING BOARD: Setting for not requiring contract based on assignment type
In the Planning board-module we show candidate cards. These candidate cards are for example shown if the candidate has a contract or an assignment in the specified period. The candidate card will show contracts, assignments, assets (for example a provided laptop) & HRM items (for example a vacation). There items have color codings, for example if the candidate needs a laptop for an assignment and the candidate has not been provided a laptop; the laptop-bar will color red (as in: take action!). If a candidate has an assignment, we used to assume the candidate always needed a contract. So the contract bar will be red in the period where there IS an assignment and there is NOT a contract. There are however use cases where the candidate DOES have an assignment, but where there is NO contract with the candidate (in case the candidate is provided by another company, there is for example no direct contract with the candidate). So in these cases the contract-bar always became red. We have now added a checkbox 'Contract required'. If this checkbox is unchecked, a contract is NOT needed to be considered for placements of this type.
DASHBOARDS: 'Number of positions' as extra fields in 'Vacancies'-widget
In a vacancy detail it is possible to define the number of positions for a specific vacancy. This way if you have vacancy 'Product Manager', but actually need 3 Product Managers you can fill this field with '3'. On the Dashboards we have a 'Vacancies'-widget showing vacancies. In the configuration of this widget it is possible to select additional fields to be shown per vacancy. Now it is also possible to select this 'Number of positions'-field to the configuration of these additional fields, so they will be shown in the 'Vacancies'-widget on the dashboard.
REPORTS: Improved way of adding additional dimensions in reports
In the Reports module some reports allow you to add additional 'dimensions' to the report. This will split up the data and add columns to the report. To add a dimension we used to use a select-option and an add-icon. This worked, however was not very intuitive. We have therefore make it work like the way you add match criteria to a candidate or vacancy (which is far more user friendly).
REPORTS: Changed way of creating report groups/pages and editing names
In the Reports-module it is possible to create 'report groups' and 'report pages'. When creating a report group or report page, we used to open a modal to enter the report group or report page name. After filling this in and hitting the save button, the report group/page was created and you would need to fill in additional details in the report group/page itself to make it actually show any data. This was causing users to hit additional mouse clicks and it was not in line with how we normally create items in OTYS Go! (where hitting an add-icon will create an 'empty record' with a title 'New [itemname]'. We have therefore decided to change the process of how you created new report groups or pages slightly. If you hit the 'New report group'- or 'New report page'-button we will immediately create the new report group/page and open its detail. In this process we have also changed the position of the name of the report page, so it is shown on the top left (where the name of the report group is also positioned). This way the report group/page creation process is easier and more in line with how other items are created in OTYS Go!
INTERACTIONS: Modal to insert replaced email as alias
When you change an e-mailaddress in the candidate information widget, you are asked if you want to save the changed email address in the widget 'Mail Aliasses'. This logic is now also implemented for e-mail fields in the interaction forms.
INTERACTIONS: Added 'Start' & 'End' date for procedure detail
Interaction forms can be used to update procedure details, for example to use in a "Free interaction block" widget. The fields 'procedure startdate' and 'procedure enddate' are now available to be used in such a form.
INTERACTIONS: Added field candidate 'Bank account #'
Interactionforms can be used to create or update candidates. The field bankaccount nr was not yet available for these forms. Bankaccount nr is now available, as well as fields for IBAN, BIC and VAR numbers.
DASHBOARDS: Create records through interaction forms from dashboard widgets
We have a functionality to create 'interaction forms' which are forms that can interact with the database (for example to update a candidate or create a vacancy). In various module list views of OTYS Go! it is possible to use interaction forms to create new records, including the option to 'hide' other options. However, the add-icon in the widgets on the dashboards would always create an empty record. Now it is also possible to create new records through interaction forms from the candidates, vacancies, customers & tasks widgets on the dashboard with similar behavior as adding records through the various modules.
SUPPORT: Added LinkedIn profile to user creation process & changed field order
If you create a user through OTYS Go!, you will need to fill in various fields. It was NOT possible to fill in the LinkedIn profile of the to-be-created user. We have added this field to the form used when creating a user. Additionally the order of the fields was not fully logical (username & password were for example not placed below each other). So while adding this LinkedIn profile field, we have rearranged the fields a bit so they are in a more logical order.
INTERACTIONS: Added field candidate 'BIC #
Interaction forms can be used to create or update candidates. We have made the field 'BIC #' available to be used in such forms.
TASKS: URLs will open in a new browser tab
URLs in comments or textfields of tasks used to open in the same browser tab. They will now open in a new tab. This way you don't 'loose' the task when you want to view a link.
GENERAL: limit mail recipients
In the past users were free to send an e-mail to an unlimited amount of recipients. Unfortunately this started to cause issues; our servers get flagged for 'spam' what causes issues for all customers using these servers. When this limit is active, we block the sending of newsletters and mails when user tries to send it to a number of recipients higher then the limit. We also warn users when they create mailing lists that are larger than the limit. This is not 'blocked' (only the warning), because mailing lists can also be used for other purposes, for example the Mailchimp integration.
GENERAL: Procedure kanban for Candidate and Vacancy detail
This new Kanban feature will add a tab to your candidate- and vacancy views. The Kanban tab will show a column for each procedure status, with cards for all candidates (if in vacancy) or vacancies (if in candidate) per status column. This feature is only available if you work with one procedure status (and not with 3).
DASHBOARDS: Kanban on Dashboard for all procedures
This new Kanban feature can be used as a widget on a Global dashboard. The Procedure kanban widget will show a column for each procedure status, with cards for each procedure. This feature is only available if you work with one procedure status (and not with 3).
