Release notes September 2024 1/2
CANDIDATES: Changed behavior website select when sending online cv presentation
We have an 'online CV presentation' to send a candidate to a customer contact person (and ask the customer contact person if he/she is interested in the candidate or not). From a candidate detail it is possible to send an individual online cv presentation to a customer contact person, by clicking on the 'Introduce'-icon on top right of candidate detail and choosing 'Online CV presentation'. In this modal we always showed a 'Website select' in which the user needed to select the website used for sending the online CV presentation (even if the client only had one website). We have changed this, so that we do not show the website select if the client only has one website. Additionally we have made sure that if the customer has multiple websites, we will by default select the website which is selected at 'Website' in the 'Candidate information'-widget of a candidate detail. If there is no website selected, we will by default select the clients 'primary website'.
CANDIDATES: Changed client specific widget titles to fixed titles
In a client detail we have some specific widgets which have client specific titles. For some of these widgets (for example widgets with specific remarks-fields) this somewhat makes sense. For other widgets (for example the work experience widget) this really does not make sense. We have therefore change these widget titles from client specific titles to fixed (translatable) titles like other widgets have.
CANDIDATES: Send online cv presentation in batch when matching candidates from vacancy
We have an 'online CV presentation' to send a candidate to a customer contact person (and ask the customer contact person if he/she is interested in the candidate or not) and we have an 'online job presentation' to send a job to a candidate (and ask the candidate if he/she is interested in the job or not). From a candidate detail it was already possible to send an individual online cv presentation to a customer contact person, by clicking on the 'Introduce'-icon on top right of candidate detail and choosing 'Online CV presentation'. From the procedures list and from the candidate-vacancies match list was already possible to send multiple online job presentations to a candidate, by using a batch action. It was not yet to introduce candidates to a contact person when matching a job to candidates. Now it is. We have created the new batch action 'Presents candidates to customer'. If this batch action is enabled through client/user setting 'Candidates - Enabled batch actions' (SE3407) and you are matching candidates from a vacancy detail, this new batch action will appear. Clicking on this batch action will open a similar modal as the modal shown when creating an online CV presentation from a candidate detail. After hitting the 'Process'-button an online CV presentation is generated. If multiple candidates are selected, there will be one email with multiple online CV presentation links plus a link to an 'overview page'.
CONTACTS: Extra fields now available for search
In the Contacts module you are able to use 'extra fields', this way you can create your own fields for certain information when there is no default field in OTYS. We now added search options for these fields. Click 'add criterium' in the in the right panel and you will see search fields that match the type of information in your extra fields; date-, keyword,- select- or multi-select search.
CRM: Define results per page in 'Contacts'-widget
In the 'Contacts' widget in the CRM (relation detail) you can now define the amount of results shown per page. This can be done in the widget itself and with a user setting: 'Go ! CRM Contacts widget- Default result per page' (SE3563).
CSM: Configure left panel sets based upon ABAC
In OTYS Go! we have various configuration elements (for example dashboard sets, left panel sets, list views & detail views) which can be changed so that specific users see information which is most relevent to them. This way it is for example to create a dashboard set 'Marketing' with various Marketing-related dashboards and a dashboard set 'Recruitment' with various Recruitment-related dashboards. These configuration items can then be assigned to specific users (so that a user responsible for Marketing sees the Marketing dashboard set, a user responsible for Recruitment sees the Recruitment dashboard set and a user responsible for both Marketing & Recruitment sees both the Marketing & the Recruitment dashboard set). Since we have a lot of these kinds of configuration elements, we prefer our clients not to configure this for each and every individual user. For this we have created an 'ABAC' (Attribute Based Access Control) system which based upon attributes (the organization units of the user) automatically changes the configuration for that user. This way you only need to configure once which elements should be available for users of department 'Marketing' and then when creating a new user and selecting department 'Marketing' OTYS will take care of the correct configuration. In the OTYS system it is also possible to configure 'left panel sets' in most modules, more-or-less showing the 'quick filters' on the left side of most modules. It was not yet possible to assign these left panel sets based upon ABAC rules. Now it is so you can for example configure that users of department 'Marketing' should see left panel sets relevant to Marketing. If a user gets multiple left panel sets assigned for a specific module through this ABAC process, the left panel set with the 'highest position' in the ABAC rules list will be used as the default left panel set for that users.
GENERAL: Added batch action 'Send email' to several modules
In the Candidates module we have a batch action 'Send email'. This will add the selected candidates to a temporary mail group and open an email addressed to this mail temporary mail group. So basically an easy way to send an e-mail to multiple recipients. The 'temporary mailgroup' will ensure that recipients don't see each other in the list ('Bcc') but do get a personal salutation. We added this batch action also to CRM (mail to relations) Contactpersons (mail to contact persons) and Procedures (mail to candidates or contact persons). For each module there is a user setting to select which batch actions should be available. Select the 'sent email' options here to activate. This can also be done in 'ABAC', to setup with rules for specific groups of colleagues instead of per person.
The relevant settings to enable batch actions are:
CRM - Enabled batch actions contact persons (SE3410), CRM - Enabled batch actions customers (SE3410), Candidates - Enabled batch actions (SE3407) and
Procedures - Enabled batch actions (SE3411). These are 'client/user' settings; you can set a default for all users on client level, and make exceptions per user.
GENERAL: Improve styling of creation of dashboard(sets) configuration
We have improved the styling when managing dashboards & dashboard sets.
GENERAL: Move 'Own filters'-section in left panel to separate 'Personal filters'-tab
In most modules we have a standardized lay-out. In this standardized layout users are able to search for items (for example candidates) using the search filter on the right and will see results in the list in the middle. If a user executes a search query which it will most probably execute more often (for example: show me a list of all open jobs which I am responsible for) it is possible to create a 'filter' for this search query and show it in the panel on the left. This way it is possible to execute a search query which includes multiple elements with one simple mouse click. Since this was quite a popular functionality (and users can have quite a few of these filters), it is possible to 'divide' these filters in different sections in the left panel so the users have a better overview of their filters. We have previously created 'left panel sets' which is more-or-less a combination of these sections which each can contain filters. These left panel sets can be 'personal left panel sets' (a user created a left panel set just for him-/herself), but in most cases will be 'global left panel sets' (where a Key-user for example creates a left panel set for the entire Marketing department). Most users really like these left panel sets, however if you use a 'global panel set' (which most users do) it was NOT possible to use personal filters. If you wanted to use personal filters you would need to change your view to either your default left panel set or a personal left panel set. To provide our users a 'best of both worlds' we have decided to remove the 'Own filters'-section (which is the section in which all personal filters are added which are NOT assigned to a specific section) and show it as a separate 'tab' called 'Personal filters' in the left panel.
GENERAL: Various improvements to Super-user settings
In the OTYS system Super-users have a settings interface to manage client, user & website settings. We have made various improvements to this Super-user settings interface. The new user interface can be opened by clicking on your user-icon on top right and choosing 'Settings'. Ther is now a (more) clear switch between client, user & website settings on top of the settings list. Settings are divided into 'sections' (to for example group all IMAP settings in tab 'Integrations'), ordered in a more logical way and various settings have been renamed to make things clear yet simple. Opening user settings will first open a (filterable) list of users and opening website settings will first open a list of websites (which will be skipped if there is only one website). Additionally this settings interface is now also available for 'normal users' (where normaly users are only able to change a limited number of settings linked to their own account). Please note these changes only apply if you are working with our Super-user approach. If you are still working with our (old) Key-user approach; you will still see te old settings list.
INTERACTIONS: Candidate extra fields in 'Update procedure' action
With an interaction form with the 'Update Procedure'-action you could already update candidate fields, procedure fields and procedure extra fields. We have now also added candidate extra fields; this way you can edit the candidate extra fields in an interactions widget in the procedure, or with a procedure workflow triggering an interaction form.
INTERACTIONS: make 'Supplier' & 'Supplier portal' available in interaction forms
We have inserted the Supplier & Supplier portal field into the interaction forms. Note that to see the Supplier field you are mandatory to have a the checkbox Supplier portal checked!
PLACEMENTS: Create unlink button's for all select buttons
We have created unlink buttons for all select buttons within OTYS Go! to have easier unlinking from Placements.
PROCEDURES: Batch action 'Online CV presentation'
We have an 'online CV presentation' to send a candidate to a customer contact person (and ask the customer contact person if he/she is interested in the candidate or not) and we have an 'online job presentation' to send a job to a candidate (and ask the candidate if he/she is interested in the job or not). We already had various routes to send these online presentations (for example sending an onlin job presentation in batch from the Procedures-module). In the Procedures-module it was however not possible to send an online CV presentation in batch. We have therefore added this option. Choosing the batch action 'Online CV presentation' will open a modal for follow up interactions. After the online CV presentation is processed, we have made sure that if multiple procedures of the same customer contact person are selected, we will combine that email into one email with multiple cv presentation detail links and one cv presentation overview link. Please note that the batch action 'Online CV Presentation' needs to be enabled through client-user setting 'Procedures - Enabled batch actions' (SE3411) for this option to show.
PROCEDURES: Column 'Days since status change' sortable
In the Procedures-module, we already had the date of the last procedure status change for some time. However, this is many times interpretated 'relative' (how many days ago was that), so therefore we recently added a column 'Days since last status change' in the Procedures-module. We have now made this column sortable so can sort it based upon newest change or oldest change.
PROCEDURES: extra fields now available in export profile
In the procedures module it is possible to configure 'extra fields', to store information that does not have a default field in OTYS. These extra fields are now also available to use in export profiles.
PROCEDURES: Improved behavior when sending online job presentations in batch
We have an 'online job presentation' to send a job to a candidate (and ask the candidate if he/she is interested in the job or not). From the procedures list it is possible to send an individual online job presentation to a candidate, by selecting the procedure(s) and choosing batch action 'Online job presentation' and in a context menu selecting a method and a website. If you select multiple procedures this will result into multiple emails (so if you select 3 procedures from one candidate this will open 3 emails to that candidate, each with a separate job). We have improved this functionality so that choosing the option 'Online job presentation' will open a modal for follow up interactions. Additionally we have made sure that if multiple procedures of the same candidate are selected, we will combine that email into one email with multiple job presentation detail links and one job presentation overview link.
VACANCIES: Send online job presentation from vacancy detail
We have an 'online CV presentation' to send a candidate to a customer contact person (and ask the customer contact person if he/she is interested in the candidate or not) and we have an 'online job presentation' to send a job to a candidate (and ask the candidate if he/she is interested in the job or not). From a candidate detail it is possible to send an individual online cv presentation to a customer contact person, by clicking on the 'Introduce'-icon on top right of candidate detail and choosing 'Online CV presentation'. From a vacancy detail it was NOT possible to send an individual online job presentation to a candidate. For this you would first need to link the candidate to a procedure and execute a batch action from this procedures list. We have made it possible to send an individual online job presentation to a candidate from a vacancy detail, in a similar way as how we can send an an individual online cv presentation to a customer contact person from a candidate detail. Please note this option is only available for clients which were already using our online job presentations.
