CSM: All user GE-settings compatible to be changed by Key-users

We currently have various client, user & website settings. There are various 'types' of settings which you can recognize based upon the prefix of the setting ID ('DB'-settings, 'SE'-settings, 'GE'-settings and 'PA'-settings). User settings can not only be changed by the user themselves, but also by Key-users. This already worked fine for DB-, SE- & PA-settings; however in many cases not for GE-settings. If a Key-user for example opened the setting 'Mail - Signature' (GE84) with a specific colleague selected, it actually opened the mail signature of the Key-user itself and saving it would save the mail signature of the Key-user itself. This was causing inconvenience (Key-users not being able to change these kinds of things for other users) and confusion (Key-users accidentally changing something for themselves). We have therefore made sure that all GE-settings can be changed by Key-users for other users. If a Key-user now for example opens the setting 'Mail - Signature' (GE84) with a specific colleague selected, it will show the mail signature of the selected user and saving it will save the mail signature of the selected user.

DOCUMENTS: mergefield for 'Contract contact' now available

Use field {{AssignmentService.Customer.contractContact}} as a mergefield in documents, if you want to add the name of the 'contract contact' from the Customer Financial widget in the Placements module. 

Please note: this merge field will only show information if the document is generated from the Placement.

GENERAL: Overview pages for online cv & job presentations

We have an 'online CV presentation' to send a candidate to a customer contact person (and ask the customer contact person if he/she is interested in the candidate or not) and we have an 'online job presentation' to send a job to a candidate (and ask the candidate if he/she is interested in the job or not). From the candidate-vacancies match list it was already possible to send multiple online job presentations to a candidate, by selecting the vacancies and choosing batch action 'Present vacancies to candidate [candidatename]'. If you select multiple vacancies this will result into one email (so if you select 3 vacancies this will open 1 emails to that candidate with three links). We have improved this functionality so that (a) the email will also include a link with an 'overview page' of all vacancies (and their 'status'), (b) a 'Previous' and 'Next'-button in the online vacancy presentation detail page (allowing candidates to easily 'browse' through them, (c) making sure that if a candidates makes a choice (so clicks on 'I am interested' or 'I am not interested') we automatically open the next online job presentation for which a choice still needs to be made or (if a choice has been made for each job presentation) the overview page and (d) making sure that if for one of the online job presentations the candidate has clicked on the button 'I am interested' and have updated his availability, the candidate is not prompted to update your availability for other online job presentations during the same 'session' again. This has not only been implemented for sending online vacancy presentations from a candidate-vacancies match; but also for sending online cv presentations & online vacancy presentations from the Procedures-list.

FO: Not allowing (Actonomy) Job Search Agents without criteria

We have an option on OTYS websites to create Job Search Agents. This will email new vacancies that meet a specific search query to the visitor. The concept is that the visitor defines which vacancies he wants to receive (for example all IT vacancies) and will then receive new matching vacancies by email. Although the concept of the Job Search Agent is that candidates receive vacancies that meet specific criteria, it was also possible to create Job Search Agents WITHOUT adding any search criteria. This is causing lots and lots of emails being send by OTYS servers, which is having a bad influence on our anti-spam reputation. We therefore have made it globally mandatory to at least include one criteria when creating a Job Search Agent.

MyOTYS: Option to request cancelling of licenses

Within MyOTYS it is possible to see historic, current & future licenses. If a customer wants to cancel a current or future license, they will normally send an email to their Customer Success Manager (although there are of course also alternative routes). To structure the process of cancelling licenses, we have made it possible to cancel a license through MyOTYS. By clicking on the options-icon on the far right side of a license in MyOTYS and choosing 'Cancel license' it is possible to request the cancellation of a license. It is possible to cancel licenses from a specific date (in which case contractual agreements of course do need to be respected) or to cancel licenses 'as soon as possible). Once the request is submitted, a ticket will automatically be created to track the follow up process for both the client and OTYS.

MYOTYS: Added information-icons when creating API key

Within MyOTYS it is possible to create new API keys. When creating new API keys, you will need to fill in an email address and (if the client uses Application Based Access Control) select organization units. It appeared not to be fully clear for users when creating API keys why they needed to fill in these fields. We therefore have added information-icons to these fields.

MYOTYS: Option to ask questions about invoices

Within MyOTYS it is possible to see previously send invoices. If a customer has a question about one of these invoices, they will normally send an email to our Finance department. To structure the process of invoice questions, we have made it possible to ask questions about an invoice through MyOTYS. By clicking on the options-icon on the far right side of an invoice in MyOTYS and choosing 'Ask question' it is possible to ask a question about the invoice. It is possible to provide a question and a (possible) alternative email address for follow up questions. Once the request is submitted, our Finance department will answer that question by email.

MYOTYS: Possibility to regenerate API keys

In the MyOTYS portal it was already possible for application admins to create API keys. However, in some cases an existing API key needs to be 'regenerated', for example because no one knows the API key anymore or because the API key was shared with people that should not have access (anymore). We have therefore made it possible to 'regenerate' API keys in MyOTYS. In an API key detail you will now see a button 'Regenerate'. Hitting this button and confirming this action will make sure the API key is regenerated (so the old one can not be used anymore and a new one is shown) without making any changes to the permissions linked to the API key. Since API keys are linked to specific API key users we will also reset the password of the linked API user (and show it) which gives access to OTYS Go! environment.

EXPORT: Ability to export 'Job Type'

We have inserted the field 'Job type' for the Procedure export in 'GE183', 'Export profiles - Procedures' AND in the Vacancy export in 'GE139', 'Export profiles - Vacancies' so it is now exportable for these 2 entities.

MAIL: Renewel mail for Job Search Agents

With a Job Search Agent a (potential) candidate receives mailings with new vacancies that match the conditions they have set. For example vacancies with category 'IT' and region 'Utrecht'. Until now, these search results would be send 'forever'. There are ways to manually remove them, but that's not common practice (and a lot of work).

We changed this into a more 'opt-in' type of flow. A recipient of a Job Search Agent will periodically receive a notification mail, asking them if they still want to receive the Job Search Agent results. I they don't click the link, they will also receive a reminder. If they still don't respond, the Job Search Agent will be removed.

CSM: Show Go! custom actions in Settings-module

We created a partner functionalities 'Partner custom actions' and made various improvements for it. It is now also possible to create partner actions which can be triggered from settings. To configure this you will FIRST need to configure the custom actions using client setting GE288 (like you do for other custom actions). Once that is set up you can add it in 'Setting'-type select of the Partner settings.
